Mail-in passport renewals

Renewing a passport by mail

 

Should you not wish to mail-in your application, or do not meet the mail-in eligibility requirements below, please make an appointment to lodge your application via our online booking portal.

 

Eligibility

The Australian Embassy Vienna will accept passport renewal applications by mail. 

For an adult renewal, you will need a passport that:

  1. was issued when you were aged 16 or older
  2. was issued on or after 1 January 2006
  3. had, when it was issued, at least two years’ validity
  4. has your current name, date of birth, place of birth and gender, and
  5. has not been reported lost, stolen, or cancelled.

For a child renewal the applicant must:

  1. be under the age of 16 (i.e. 15 or below) and
  2.  have previosuly held an Australian passport.   

Application process

If you can answer yes to all the above (even if that passport has already expired), you may choose to renew your passport by mail.

Adult passport renewals

For an adult passport renewal, please send us the following:

  • a printed and signed 1-page application form available from our online portal;
  • at least two passport photographs (one of them should have your name printed on the back side). Australian passport photo requirements can be found here;
  • a completed and signed credit card authorisation form (available for download from our website). Fees will be charged in AUD. For current fees, please visit our page on consular and passport fees, and be sure to include the listed postage fee if you’d like your passport returned to you by post.

For such applications, no birth certificate, citizenship certificate or current passport is required. For more information please see our checklist for renewing your passport by mail.

Please make sure you use black ink when signing the application form and keep your signature within the box.

When you are ready, please post your completed application, passport photos and credit card authorisation form to the Embassy in Vienna. The Embassy’s postal address is:

Child passport renewals

For a child passport renewal, please send us the following:

  • a printed and signed 5-page application form available from our online portal.
  • at least two passport photographs, one signed by an approved guarantor. Australian passport photo requirements can be found here. The guarantor should either be an Australian citizen or work in an approved profession, and not be related to the applicant.
  • certified copies of both parents’ ID  showing their name, photo and signature, as well as a certified copy of proof of address, such as a residency permit, utility bill or Anmeldung. Certified copies can be taken by the photo guarantor. They should write on the photocopy; "this is a true copy of the original document presented to me", with their full name, occupation or Australian passport number and the date signed. Certified copies must be of good quality and may be presented in either colour or black and white.
  • a completed and signed credit card authorisation form (available for download from our website). Fees will be charged in AUD. For current fees, please visit our page on consular and passport fees, and be sure to include the listed postage fee if you’d like your passport returned to you by post.

For such applications, you are not required to mail the previous passport of the applicant, nor certified copies of their birth and citizenship certificate if they were provided with the last application. For more information please see our checklist for renewing your passport by mail.

How will I know my application has been received?

Plese allow five working days for your application to be received and entered into our system. If you can see that your credit card has been charged, your application has been processed. We will contact you directly if your application is incomplete or more information is required.
